How will you contribute?
To achieve LIST’s strategic objectives a professional doctoral training plays a significant role. The national and international funding programs require an adequate structure and a high quality of doctoral training. The establishment of a structured coordination of PhD training as well as the implementation of a "Quality Framework for Doctoral Training" increase LIST’s competitiveness in funding programs and professionalize its doctoral education. The Senior Research Assistant will support the Head of the Doctoral training Office in the implementation of the strategy and operations in PhD training. You are a recognized support employee able to conduct tasks with autonomy under limited oversight, adapt own work to new situations, and solve problems that require understanding of a broader set of issues and relevant prior experience. You communicate with aplomb with stakeholders within and outside the team and/or with different levels of the organization.
You’ll assist the Head of the Doctoral training office, among others in the following missions:
Implementation and monitoring of the Quality Framework for Doctoral Training
Creation and management of a LIST PhD community and a LIST PhD alumni network
Promotion of LIST doctoral training
Organization and animation of LIST annual PhD Day and other events linked to doctoral training
Induction Program for PhDs
Tailored Career Orientation and Personal Development
Required skills and experience
Advanced technical or vocational qualification in area of work and 5-6 years of relevant work experience as well as relevant certification
Defines work plans and timelines related to event organization.
Proposes and implements solutions to improve the processes or work organization
Keeps professional contact with external providers, entities or bodies to perform the duties.
Coordinates, defines and conducts events organisation (e.g. briefing, budgeting, organisation, customer satisfaction, reporting, ...), with autonomy under limited oversight, for large-scale or complex internal and external events.
Manages all logistics, handles facilities and onsite support.
Liaises with the communication team to use the best communication actions for an event depending on the purpose and location of the event and its budget.
Establishes and maintains contacts with suppliers, and ensure events adhere to plans and protocols, with support from management.
Manages participant databases in compliance with the GDPR.
Oversees the entire process of defining requirements, creating graphics, including illustrations, logos, and layouts, shaping the visual aspects of various LIST platforms and materials.
Collaborates with the providers involved in the production of flyers, posters, or any other communication material.
Excellent time management and organizational skills. Ability to work methodically, define workplans, and meet deadlines.
Masters MS Office package and IT tools.
Excellent communication skills in French and a good command of English, both in oral and written.
Good intercultural communication skills.
Strong client orientation skills.
Has the ability to work collaboratively with internal and external stakeholders
