Tomorrowland is looking for a hands-on Executive Producer to join our Production team and bring our immersive experiences to life in Brazil. This role is all about being in the thick of it—on the ground, in the field, making things happen. You’ll support the production team in organizing and executing various tasks on the large-scale production builds, working side-by-side with creative, technical, and site teams to turn big ideas into real-world magic. From building stages to coordinating daily tasks and solving problems on the fly, you’ll be part of the go-to force behind the scenes, ensuring the smooth running of the festival. You will play a key role in making sure all production processes are carried out seamlessly, working directly with team and suppliers as well as liaising with all areas of the festival. Responsibilities
Active on the entire production process of the festival, providing support and assistance to Tech / Deco / Site Coordinators and liaise with other areas at TML BR office during concept and execution;
Organization of all production documents such as quotations, schedules and paperwork; as well Prod team and suppliers needs.
Key Duties
Oversee briefing and quotation of suppliers lead by coordinators;
Responsible for quotation with suppliers and deliverables related of general production: furniture, stagehands, general materials and others identified along the process of pre-production;
General support of workflow and administrative tasks, such as files organization, minute meeting, records of quotations, approvals, and other essential documents;
Compilation of Production requirements: lodging, cars, golf cards, radios, etc;
Coordination of build-up and breakdown schedules along with Prod Coordinators;
Focal point for suppliers onsite in terms of paperwork, accreditation and general requirements;
Setting up and managing production office spaces onsite;
Ensure organization and distribution of supporting materials (such as credentials, access tags, radios, etc.) to all those involved in the production;
Final Report, compiling a final report on the performance and deliverables of suppliers post-event.
Qualifications & Skills
Previous solid experience in event production, preferably in music festivals or large-scale events;
Availability to temporarily work on-site (Itu) during months of September and October, flexible hours may be required during peak season;
Highly detail oriented, organized and focus on accuracy;
Skilled in handling with multiple tasks simultaneously, prioritizing and focusing on problem solving and quick decisions;
Prospers in a fast-paced environment and enjoys a dynamic day to day;
Calm-under-pressure during times of stress and the ability to think of solutions on the spot and being creative.
Strong communication and teamwork skills;
Advanced English is a super plus - we exchange on a daily basis with international teams;
Passion for music, arts, and live events with an understanding of the day to day of a production team.
