How will you contribute?
The Project management support officer supports the PI/Project manager on the planning, coordination, and management of research projects to ensure they are completed on time, within budget, and delivering expected results.
You work closely with research teams, stakeholders, and sponsors to oversee all aspects of project execution, from initial planning to final reporting. You ensure compliance with funding regulations and LIST’s rules and promotes the efficient use of resources.
You will join the Project Support Office, a team of 11 led by Véronique Vaché.
Among other responsibilities, you will support the PI / Project manager for the following tasks:
• Develop detailed project plans, including objectives, timelines, etc.
• Monitor the execution of the project plan, ensuring that objectives are achieved on time. Follow-up on progress and adjust project plan when necessary. Maintain comprehensive project documentation, including project charters, plans, status reports, and meeting notes.
• Act as the primary point of contact for research project’s stakeholders. Regularly report project progress to stakeholders, including project status, budget updates, and risk assessments. Facilitate effective stakeholder engagement and manage concerns that may arise; ask for support if needed.
• Support the PI/Project manager on the monitoring of expenses to ensure projects remain within budget. Use available information provided by the Finance department for such purpose. Identify opportunities to optimise costs and improve efficiency without compromising project quality.
• Proactively identify potential risks, issues, and obstacles that may impact project success. Manage risks and issue ensuring timely resolution and mitigation.
• Contribute to the improvement of project management tools, reports, and project management in general.
• Learn to influence parties to solve issues and get things done within their area of work.
• May assist entry-level professionals.

Education
Bachelor’s degree in Business Administration, Information Technology, Engineering, or related field.
Project management certification is highly valued.
Required skills and experience
• At least 5 years of relevant experience in project management in a research environment.
• Advanced analytical, evaluative, and objective critical thinking skills and the ability to effectively summarize and present information.
• Demonstrated experience managing a full project lifecycle, from initiation to closure.
• Proficiency in project management software (e.g., Microsoft Project, Asana, Smartsheet) and other relevant tools.
• Ability to work under pressure and meet tight deadlines.
• Strong attention to detail and commitment to delivering high-quality results.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Strong verbal and written communication skills to effectively interact with stakeholders, team members, and senior management.
• Have demonstrated autonomy and proficiency in the job.
• Have handled a complete process or mission with autonomy and to achieve expected results on quality and time.
• Demonstrated good knowledge of the process under responsibility.
• Perform analytical reporting: collect inf., analyse inf., write conclusions.
• Have successfully managed tasks in missions/projects of moderate size and scope.
• Have a strong internal client orientation.
Language skills
• Skills to communicate with ease with internal and external parties in the LIST working languages (EN/FR).
