To support this growth, we are looking for an Executive & Administrative Assistant to provide operational and administrative support to the founders and our Chief of Staff. Your role will be to ensure structured executive and administrative support, contributing to the smooth day-to-day functioning of the leadership team and enabling them to focus on what matters most.
🎯 Supporting the Founders
You facilitate their daily organization by:
Managing and sorting emails
Organizing and optimizing calendars
Preparing meetings and appointments
Formatting presentations and documents
Organizing business travel (flights, hotels, logistics)
Coordinating with internal and external stakeholders
🗂 Administrative Support
You ensure reliable and structured follow-up by:
Managing and tracking expense reports
Monitoring invoices and coordinating with the CFO
Handling administrative documentation
Tracking deadlines and sending reminders
🏢 Office Management
You ensure the smooth running of the work environment by:
Ordering office supplies, materials, and equipment
Managing stock (coffee, consumables, office supplies, etc.)
Purchasing groceries for team events
Coordinating with service providers (maintenance, cleaning, suppliers)
Overseeing the proper functioning of office equipment (printer, hardware, minor logistical issues)
📌 Organizational & Event Support
You contribute to the successful execution of events by:
Sending invitations for specific events or initiatives
Managing registrations
Following up with participants (by email or phone if needed)
Updating and managing participant lists
Coordinating logistics in advance
Providing operational support on the day of the event
🚀 The Profile We’re Looking For
Must-Have:
2–3 years of experience in a similar role
Excellent organizational skills and strong attention to detail
Fluent in French and English
Ability to anticipate and prioritize
Comfortable with versatility and a wide range of responsibilities
At ease in a cross-functional role spanning multiple entities
Nice-To-Have:
Experience in a startup environment
Interest in tech and digital industries
German and/or Luxembourgish
Experience managing event projects
