We are currently looking for a motivated and driven Senior Executive Assistant under a permanent part time contract.

 

Summary

The Senior Executive Assistant will serve as a key organizational and legal liaison, ensuring smooth interactions at the highest levels of the organization as well as compliance and the quality of governance processes.

 

He/She will report to our Legal Manager and maintain a direct functional relationship with the CFO.

 

 

Missions of the role

* High-Level Executive Support

- Proactive and strategic management of complex executive calendars

- Coordination of high-level internal and external stakeholders

- Preparation and follow-up of key meetings (boards, committees, senior management)

- Handling sensitive and confidential information with utmost discretion

- Drafting or review of any document relating to the legal, contractual, and corporate governance aspects of the company and the group.

 

* Corporate Governance – Core Focus

- Full organization of Board of Directors meetings and General Meetings (AGMs/EGMs)

- Preparation of notices, agendas, and high-quality board packs

- Drafting accurate and legally sound minutes, reflecting discussions and resolutions

- Monitoring and follow-up of board resolutions and post-meeting actions

- Maintenance of statutory registers and corporate records

- Ensuring compliance with Luxembourg corporate law and governance requirements

- Additional support may include follow-up on LuxTrust group companies, coordination of related corporate matters, and ensuring continuity of legal and governance activities

 

* Corporate Legal Secretariat

- Day-to-day handling of corporate housekeeping matters

- Drafting and review of standard corporate documentation

- Coordination with external stakeholders (law firms, notaries, service providers)

- Tracking legal deadlines and regulatory obligations

 

 

 

Required skills

 

* Qualifications / diploma(s): Degree in Law, Business Administration, or equivalent

 

* Years of experience in the area: Proven experience in a similar role within a law firm, private equity, asset management, or international corporate environment

 

* Languages: French, Luxembourgish and English fluent. Any other language is an asset.

 

* Specific skills:
