Executive Management Assistant
Permanent contract (F/M)
As an Executive Management Assistant, you will join the Secretariat General and act as point of contact with people from both inside and outside the organisation.
Tasks/missions
Assist the executive management to make the best use of their time by dealing with secretarial and administrative tasks
Liaise with partners, clients, visitors and staff at all levels of seniority
Maintain the agenda and make appointments for members of the executive management
Manage and coordinate internal and external meetings, including follow-up administrative actions
Organise all aspects around meetings of the various governing bodies of the organisation including, but not limited to, the meetings of the shareholders, the board of directors (including its sub-committees) and the executive committee
Support the secretary general and/or general counsel in its tasks
Contribute to the relationship management with shareholders and board members
Receive, prioritise, handle and forward incoming communication to the right person within the organisation
Provide assistance in the production and drafting of corporate and administrative documentation
Handling of due diligence requests from partners, suppliers and clients
Arrange travel, visas and accommodation for members of the organisation
Profile
High School degree, PA diploma or certification
5+ years’ experience as an executive management assistant
Proficiency in the use of Microsoft 365 and AI tools
Professional appearance with the ability to quickly establish personal credibility and build trust-based relationships
Discretion, integrity and confidentiality are essential
Flexibility, independence and proactivity, with the ability to take initiatives
Attention to detail, along with strong problem-solving and organisational skills
Outstanding written and oral communication skills in English and French, German and Luxembourgish are considered as an asset
