Main responsibilities
Client onboarding
Perform, review, and coordinate key onboarding and governance activities:
Lead and coordinate client onboarding and re-acceptance processes
Put in place and manage engagement letters and contractual documentation
Support and actively contribute to fee proposals and client presentations
Ensure timely completion of AML/KYC documentation and compliance requirements
Coordinate due diligence requests both inbound and outbound
Draft and maintain operating memoranda
Act as a Corporate Governance / Company Secretarial (CoSec) lead
Review and validate board minutes, resolutions
Plan and coordinate annual board calendars and agendas
Organise and lead preparation of board meetings (closings, FS approvals, transactions. Specialised work is outsourced)
Coach and support team members (~1 FTE)
Promote a professional, collaborative, and accountable team culture
Identify and implement process improvements to enhance efficiency and quality
Client relationship management
Act as client manager on a defined portfolio of clients
Lead regular client interactions (e.g. bi-weekly calls, action plan tracking)
Coordinate across internal teams (accounting, TA, taxes etc.)
Interact confidently with external counterparties (directors, investors, auditors, banks, regulatory authorities etc.)
Issue quarterly billing
Act as the first escalation point for client issues
Drive a proactive and ownership-driven approach to client service
Ad Hoc support
Support team growth initiatives and ad hoc operational needs
Take ownership of special projects (process optimisation, onboarding improvements)
Support internal and external audits
May act as authorised signatory for selected client transactions/payments
Team-oriented with a hands-on attitude
Main requirements
Master degree in Law or related legal field
5+ years of experience in a fiduciary, corporate services, or financial services environment
Fluency in English and French (written and spoken)
Strong understanding of Luxembourg regulatory environment (AML/KYC, governance, corporate law)
Strong understanding of Luxembourg closed-ended funds/ corporates lifecycle, company secretarial practices
Ability to manage multiple clients and priorities simultaneously
Structured approach to tracking, follow-up, and execution
High level of professionalism, reliability, and resilience
Comfortable acting as a decision point and escalation filter
Ability to coordinate across functions and resolve bottlenecks
